2011-2012 Registration Preferencing Rules
Goals
- Support the ability of our existing members to continue to curl in leagues they have traditionally curled in.
- Provide adequate notice when a league is oversubscribed to allow curlers to join other leagues.
- Support the addition of new members to the Dixie Curling Club.
INDIVIDUAL ENTRY LEAGUES
Only those registrations accompanied with proper payment will be considered received.
For Individual Entry Leagues (such as Business Women, Wednesday Men, Day Men, Day Ladies, Friday Night Mixed) Registration will be as follows;
Period 1 (Aug 3 – Aug 9) Preferencing Period
- 1) Returning League Members
- Entries are accepted as “Period 1 Preferencing” until 10:00 am Aug 10.
- At end of Period 1 individuals will be accepted into the league per the order above.
- A lottery will be used to determine entry into the league if it is oversubscribed.
- Curlers that lose entry into a league by lottery will be treated as if they played in the league for the following season only (this privilege will be limited to one year). These lottery individuals that return in the subsequent season will be given protection from the lottery for the season only.
- Conveners will be encouraged to make use of strategies that will enable the acceptance of as many new curlers to Dixie as is possible without hindering the ability of returning members to curl in these leagues.
- Specific to the Mixed League, those Dixie members who register to play in the new 5pm Mixed League will be considered regular Mixed League members until the new league has a sustainable number of teams. At that time their spots will be released and will be filled as per the preferencing above.
Period 2 (Aug 10 – Aug 21)
- Registration opens for all Dixie Members assuming the league is not full beginning at 10:00 am August 10.
- Entries accepted on a first come basis as there is NO PREFERENCING.
- Registrations will be date and time stamped to ensure first come first served basis.
- Entries submitted after the close of business will be considered arriving in the office at 10:00 am the next day.
Period 3 (begins Aug 22)
- Registration Open to ALL, including new members, assuming the league is not full beginning at 10:00 am August 22.
- Registrations will be date and time stamped to ensure 1st come 1st serve basis.
- Entries submitted after the close of business will be considered arriving in the office at 10:00 am the next day
General
- Entries can be faxed, emailed or delivered to the office during published office hours.
- A lottery will be used to determine entry into the league at any point at which it oversubscribes.
- Conveners will be encouraged to makes use of strategies that will enable the acceptance of as many new curlers to Dixie as is possible without hindering the ability of returning members to curl in these leagues.
TEAM ENTRY LEAGUES
Only those registrations accompanied with proper payment will be considered received.
Period 1 (Aug 3 – Aug 9) Preferencing Period
For Team Entry Leagues the Preferencing will be as follows:
- 4 Returning Team Members
- 3 Returning Team Members + 1 Returning Dixie Member
- 3 Returning League Members + 1 Returning Dixie Member
- 2 Returning Team Members + 2 Returning Dixie Members
- 2 Returning League Members + 2 Returning Dixie Members
- The following combination will be considered equal
3 Returning Team Members + 1 New Dixie Member
3 Returning League Members + 1 New Dixie Member
4 Returning Dixie Members
Entries are accepted as “Period 1 Preferencing” until 10:00 am Aug 10.
- At the end of Period 1, teams will be accepted into the league per the order above from the highest level (#1) to the lowest level (#6).
- A lottery will be used to determine entry into the league if it is oversubscribed.
- Only those teams from the preferencing level that would cause the league to overflow will be included in the lottery. Teams from higher levels will already have entry into the league, while teams from lower levels will not curl in that league in that season.
- Curlers that lose entry into a league by lottery will be treated as if they played in the league for the following season only (this privilege will be limited to one year).
- Lottery teams that return in the subsequent season with the same 3 Team Members + 1 Returning Dixie Member will be guaranteed entry into an oversubscribed league as they will receive level 1 status and will be given protection from the lottery for that season only.
- Teams BELOW the level where the lottery occurred will return as Dixie Member only for the following season.
- Will provide adequate notice to those members who do not gain entry into the league.
Note: **Teams that lost the lottery entry in the 2010-2011 season will qualify under these guidelines.
**Only 4 team members will be considered for preferencing rules. Please list the 4 members of the team!
PERIOD 2 (Aug 10 – Aug 21)
- Registration opens for all Dixie Members assuming the league is not full beginning at 10:00 am August 10.
- Entries accepted on a first come basis as there is NO PREFERENCING.
- Registrations will be date and time stamped to ensure first come first served basis.
- Entries submitted after the close of business will be considered arriving in the office at 10:00 am the next day.
Period 3 (begins Aug 22)
- Registration Open to ALL, including new members, assuming the league is not full beginning at 10:00 am August 22.
- Registrations will be date and time stamped in order received.
- Entries submitted after the close of business will be considered arriving in the office at 10:00 am the next day
General

Other General Registration Guidelines
Student/Junior members
- All Junior members that wish to participate in other than Junior Curling (Sundays) must pay the Student Fee
- Student Teams/Members are to be considered the same as any other team/member in league placement. Minimum age for Student is 16 yrs .
- Youth teams (under 16) may fill vacant spots in leagues after registration at the discretion of the league convener
Registration Handling
- Forms will be DATE/TIME stamped and entries will be on a first come first serve basis.
- Entries can be mailed/faxed/emailed. Entries that are delivered to Dixie by any method after office hours will be grouped together as arriving at the same date/time. This includes emails and faxes
- In the event of a tie a lottery amongst the teams/members at the preferencing level at which the league fills will occur for the remaining positions in that league.
- Reminder emails will be sent such as Registration Coming/Now Open etc…
- Web to be updated every other day (secure area) with list of completed registrations received to allow the query of the status of teams/members. Curlers can still call the club if they desire.
- OFFICE will notify teams/individuals that were and that were not successful in gaining entry to a particular league. Contact will be made by either telephone or email to individuals and to all members of a team entry.
Registration Forms and Payment
- A registration will be considered complete when the Dixie Curling Club receives:
- Completed Registration Form.
- Submission of all applicable payments -including post dated cheques or credit card payments. The payments will be cashed as outlined in the payment plan.
- Submission of partial payments with a registration form will not be considered acceptable as a complete registration.
- The post dated cheques/credit card payments will be deposited as documented on the payment form
• Dixie Curling Club will try to ensure payments it cashes reflect an applicant’s successful registration.
• Single night applicants – Payments will not be processed for unsuccessful registrant.
• Unlimited application – Payments may be cashed and refunds provided at the beginning of the curling season. This allows unlimited applicants to attempt to register in other leagues in the event they are unsuccessful in a specific league. Refunds should be requested!
• Refunds in full will be provided until the first day of curling. After curling season begins refunds can be requested and will be considered on an individual basis. Refunds granted after the start of the season will be pro-rated.
Dispute Resolution:
The General Manager should handle any disputes in registration.
• Guidelines may be tweaked for subsequent seasons if required.
• If required the Registration Committee and then the board will review any issues.
